Cliffbank Lenders, a small-business funding service in Merced, California, walks through funding a grocery store in Merced County: inventory financing for stock, equipment financing for coolers and checkout systems, how a convenience store business loan differs, and how to keep payments inside a grocer's margins. It cites Census counts of local grocers. Each request is decided by a partner.
Start with the margin, not the loan
Any payment, from a loan, a lease or an advance, comes out of what the store keeps after its costs. Before asking for grocery store financing, work out what is left each month after cost of goods, payroll, rent, utilities and card fees in a slower month. That number, not the store's sales, is what a new payment has to fit inside.
Merced County, CA had 74 grocery stores with employees in 2023, and only 27.0% had fewer than five employees (County Business Patterns). Most carry a real payroll.
Stock: when a business loan to purchase inventory makes sense
Borrowing for stock works when it buys something the store could not otherwise get: a supplier discount on a larger order, a new department, or stock for an expanded store. Inventory financing secured by the goods, repaid as they sell, matches that. Borrowing just to keep normal shelves full every month is a sign that margins or terms need attention instead.
A partner may find shelf-stable goods easier to value than produce, meat or dairy. Keep the inventory list and point-of-sale reports current; they are the evidence a partner reads.
Coolers, freezers and checkout
Refrigeration is equipment a grocer cannot do without. A failed compressor in a dairy case needs attention right away. Equipment financing for display cases, cold rooms and freezers spreads the cost over the equipment's life and keeps stock money free. Checkout terminals and scales date faster; keep their terms short.
Illustration only: a market replacing two reach-in freezers and a produce case gets a $27,600 installed quote. Financed over several years, the payment should fit inside the slower-month margin worked out above, with room to spare.
Grocery store loans vs a convenience store business loan
A convenience store carries packaged goods and may sell tobacco, lottery and fuel. Merced County, CA had 18 convenience stores without fuel with employees in 2023, and 73 gasoline stations. The gas station page covers fuel-and-store businesses.
Partners review both on similar records: bank statements, sales reports, supplier invoices and the lease.
Records a partner will want to see
- Three to six months of business bank statements
- Point-of-sale reports showing sales by department
- Supplier invoices and terms
- The equipment quote, with installation
- The seller's permit and the lease
The seller’s permit guide explains how to check that record. County-level counts sit on the Merced, CA figures page, and the grocery store page has more on what partners review.
A sensible order of questions
- What is left each month after every cost in a slower month?
- Is the need stock, equipment or a remodel?
- Which structure matches that need's life?
- Does the payment fit inside the margin with room to spare?
What a grocer should ask before signing
- Are payments timed to my supplier schedule?
- Does the agreement allow a separate equipment lease later?
- What happens to financed stock that does not sell?
- Are installation and refrigerant work in the equipment price?
